Position
Summary:
The Front Office Assistant (FOA) is the first point of contact for the patient and is responsible for creating a positive first impression.
The FOA demonstrates professionalism by using a patient-centered approach of building trust, identifying needs and delivering solutions.
The FOA also supports the clinic provider by delivering marketing initiatives with a goal to increase sales while ensuring excellent patient care.
Candidates must be detail oriented, organized, a self-starter, and observant and sensitive to patient needs.
Essential Duties and
Responsibilities:
First point of contact for customers over the phone or in person.
Facilitate smooth patient flow and services by greeting, scheduling and checking patients in and out.
Schedules Hearing Care Provider appointments according to scheduling guidelines Perform customer follow-up calls and appointment confirmations.
Collects and records payments, posting of charges, entering invoices, payments and insurance contract information.
Verifies patient information and billing/insurance date, requests third party prior authorization as needed, collects appropriate documentation and maintains customer charts and records.
Works with insurance agencies to facilitate authorizations and benefit verification as needed.
Responsible for a variety of administrative tasks to include faxing and scanning documents, typing, filing, inventory, maintaining office products and procedures manuals, mail, and verifying the status of and checking in hearing aids and repairs.
Responds to customer or vendor requests for information and assists with resolving customer dissatisfaction or order problems.
Recognizes opportunities and asks appropriate needs-based questions to provide extraordinary customer service to create customer loyalty and increase sales.
Demonstrates and sells hearing aid batteries, supplies, and other specialty hearing healthcare products.
Performs minor hearing aid repairs, such as battery door and receiver checks.
Cleans earmolds/domes.
Cleans professional tools, tips, specula, etc.
Participates in all marketing efforts to include outbound telemarketing phone calls to patients, compiling physician packets, coordinating community lectures, mailing the recall letters, distribution of customer comment cards, etc.
Track marketing calls and inquiries from initial contact through the point of sale.
Tracks other documents as directed.
Responsible to open and close the office daily according to contracted hours of operation.
Required Skills:
Prior front office experience in a medical/sales environment is highly desirable.
Prior experience in administrative or customer service-oriented field desirable.
Proficient in word processing and database management software.
Excellent interpersonal skills with diverse customers, colleagues, and vendors.
Familiarity with sales techniques to include problem solving skills.
Excellent oral and written communications skills.
Basic understanding of accounting procedures and good math aptitude.
Strong customer service orientation.
Excellent organizational skills.
Ability to manage multiple tasks within strict deadlines.
Ability to calmly and efficiently direct the flow of a busy office with interruptions, phone calls, and walk-in patients.
Detail oriented.
Good fine motor skills, to work with small hearing aid parts.
Comfortable with approaching and soliciting potential customers.
